Job Description
We're looking for a Procurement Officer to oversee the purchasing activities of the organization, ensuring efficient procurement processes, timely acquisition of goods and services, and adherence to budgetary constraints. This role requires meticulous attention to detail, strong negotiation skills, and the ability to collaborate effectively with various stakeholders to meet the organization's procurement needs.
Key Responsibilities:
Procurement Planning:
Collaborate with department heads to identify procurement needs and develop procurement plans accordingly.
Analyze market trends, supplier capabilities, and product/service specifications to inform procurement strategies.
Develop and maintain relationships with vendors and suppliers to ensure timely delivery of goods and services.
Sourcing and Vendor Management:
Conduct research to identify potential suppliers and evaluate their products, prices, and services.
Negotiate contracts, terms, and pricing with vendors to obtain the best value for the organization.
Maintain a database of approved vendors and suppliers, and monitor their performance to ensure compliance with contractual agreements.
Purchase Order Management:
Generate purchase orders based on approved requisitions and procurement plans.
Coordinate with internal stakeholders to ensure accurate specifications and delivery requirements are communicated to vendors.
Track and monitor purchase orders to ensure timely delivery and resolve any discrepancies or issues that may arise.
Inventory Management:
Conduct regular inventory audits to maintain accurate stock levels and identify discrepancies.
Coordinate with warehouse staff to organize and optimize storage space for incoming goods.
Implement inventory control measures to minimize loss, theft, or damage to goods.
Customs Clearance and Documentation:
Ensure compliance with customs regulations and facilitate the timely clearance of imported goods.
Prepare and verify shipping documents, including invoices, packing lists, and customs declarations.
Coordinate with customs brokers and freight forwarders to expedite customs clearance processes.
Skills
Qualifications:
Bachelor's degree in business administration, supply chain management, or a related field.
Proven experience in procurement, purchasing, or supply chain management.
Strong negotiation, communication, and interpersonal skills.
Proficiency in procurement software and Microsoft Office suite.
Knowledge of procurement best practices, contract management, and risk assessment.
Attention to detail and ability to prioritize tasks in a fast-paced environment.
Certification in procurement (e.g., CIPS, CPSM) is a plus.
